Office Angels BV, Wayenborgstraat 8, 2800 Mechelen, Belgium, company number 0786.838.363, is responsible for the processing of personal data via weareangels.com, the customer portal and our services. We Are Angels and AngelMatch are brands of Office Angels BV.

From customers and their contact persons: first name, last name, phone number, e-mail address, company name, company address and VAT number, as well as the data needed for the collaboration, such as services performed, evaluations, invoices and documents in the cloud workspace.

From visitors who fill in a form, such as the contact form or a request for an Angel scan or our rates: the data you enter yourself.

From website visitors: technical data needed for the site to work and, only with your consent, anonymised statistics. More information is available in our cookie policy.

• To perform our agreement with you: quotes, collaboration proposals, the deployment of Angels, the customer portal, invoicing and payment.
• To comply with legal obligations, such as accounting and tax legislation.
• To answer your question and present our services when you contact us, based on our legitimate interest.
• To keep the website and customer portal secure and working, also based on our legitimate interest.
• To improve the website with statistics, only with your consent.

We never sell your data.

• During the collaboration, we keep the data needed to provide our services.
• Documents in your cloud workspace: after the end of the collaboration, you keep access until the 15th of the following month. After that, we permanently delete all documents ever created in it.
• Company data and personal data needed to support the accounting records are kept for at least 10 years, as required by law.
• Data from forms is kept for as long as needed to follow up on your request.

As a customer, you can view your file at any time in our customer portal: your details, your subscription, your services performed, your evaluations and your invoices. This way you always see which data we keep about you.

We only share data with service providers that help us deliver our services, and only to the extent necessary. These include hosting of the website and customer portal, invoicing and accounting (Billit, with delivery via Peppol), customer management and forms (Zoho), e-mail, calendar and documents (Microsoft 365), video calls (Digital Samba), sending e-mails (Brevo), website statistics (Matomo Cloud, hosted in the EU) and our AI assistant in the customer portal (Mistral AI, a European company that does not use your data to train models and keeps requests for at most 15 days).

The Angels who work for you get access to the data they need for their assignment. We make confidentiality and security agreements with all these parties.

If a service provider processes data outside the European Economic Area, we ensure appropriate safeguards, such as the standard contractual clauses of the European Commission.

We use AI to support our team, never to make decisions about people on its own. A We Are Angels team member always decides. The AI only receives the data needed for the task and stays within the rights of the user. How we use AI in recruitment is explained at www.angelmatch.app/privacy.

We protect your data with measures including role-based access, encrypted connections, logging and limited staff access. Only people who need the data for their work can view it.

You have the right to view your data, to have it corrected or deleted, except for data we are legally required to keep. You can also ask to restrict processing, object to processing, receive your data in a common format and withdraw any consent you have given at any time.
